The following are answers to the most commonly asked questions. 

How are booth assignments determined and how are exhibitors  notified?

CDS assigns booth space on the basis of seniority (the number of continuous years a company has exhibited at the meeting). When the application is received at CDS is also taken into account. For example, if a company with 50 years of seniority fails to apply for booth space to be included in the Round 1 space assignments, it will be assigned space – based on seniority – in the round of assignments in which its application is received. For each round of booth assignments, each exhibitor will be placed in order of seniority and then notified when he/she can select a booth location. Assignments are made in real time and each company will be able to view the Exhibit Hall Floor Plan at www.cds.org.

How much does it cost to exhibit at the Midwinter Meeting?

The cost of a 10’ x 10’ booth is:

  • Inline booth: $3,700
  • Corner booth: $4,100

Those wishing to have a larger footprint or create islands and peninsulas need to purchase any booth space eliminated to create the footprint and/or aisle space to accommodate the footprint. Aisle space is sold only to companies selecting to have a footprint of 50’ x 20’ or larger. Aisle space is priced at the inline rate of $3,700.

Who is eligible to exhibit at the Midwinter Meeting?

All exhibits, products and services must be germane to and effective and useful in the practice of dentistry. The Chicago Dental Society shall be the sole judge as to the acceptability of exhibits. 

Who is eligible to register as booth personnel?

Companies must certify that their representatives are officers or employees on the payroll of the company contracting for booth space. Non-member dentists must be identified and be non-practicing, full-time employees or officers of the exhibiting company.

Are cash or credit card sales permitted?

Sales are limited to the taking or acceptance of written orders. Under no circumstances shall any delivery of goods or items be made. No cash or credit card sales are permitted at the show.

When can I set up and dismantle my booth?

  • Space will be available for setup beginning at 8 a.m. Feb. 19. Installation must be completed by 6:30 p.m. Feb. 20.
  • Dismantling of your booth may only begin after the show closes at 4 p.m. on Feb. 23. Aisle carpet removal will begin at 4 p.m., followed by empty crate returns.

Advanced shipments to the Freeman warehouse begin Jan. 21 and should be addressed as follows:

Direct shipments to the Exhibit Hall are targeted. The targeted floor plan (will be available prior to the 2019 Midwinter Meeting. Please refer to the targeted floor plan for the move-in schedule. Targeted move-in begins Feb. 18 and should be addressed as follows:

Weather Advisory during setup/teardown

McCormick Place provides heat in the Exhibit Hall, but with the freight doors open during setup and teardown, the temperature in the West Building will be very cold. Please dress appropriately (scarves, gloves, hats, sweatshirts, coats, etc). Portable heaters are prohibited by the Chicago Bureau of Fire Prevention, as they are considered to be a fire hazard.
