2010 Midwinter Meeting

The Midwinter Meeting will be relocating to the new West Building of McCormick Place in 2010. In addition to moving to a new location, the commercial exhibition will run concurrently with the scientific program, Thursday-Saturday, Feb. 25-27, 2010. Download the 2010 MWM Prospectus. Adobe PDF

Intent to Exhibit Application

The deadline to be included in Round 2 of the 2010 space selections is July 1.

Here’s how Round One of the 2010 space selection works:

  • Round One of the 2010 space selections began Dec. 1, 2008, and ended Jan. 7.
  • All 2009 Midwinter Meeting Exhibitors will be offered an opportunity to exhibit at the 2010 Midwinter Meeting.
  • To be eligible for inclusion in Round One of 2010 space assignments, your 2009 balance on booth space being rented must be paid in full.
  • Booth assignments will be based according to the exhibiting company’s seniority (the number of continuous years a company has exhibited at the Midwinter Meeting). 
  • It is the responsibility of the exhibiting company to inform CDS of any company mergers or acquisitions that would change the company's seniority at the time of the application process by providing a press release or other formal announcement. 
  • CDS will contact each company to discuss booth assignments. You may wish to review the PDF version of the Exhibit Hall Floor Plan (Adobe PDF) prior to Dec. 5.
  • Keep several choices in mind as your first selection may be taken.  The assignment process will take about five minutes. 
  • As each company selects a booth location, the assignment will be posted to the online application.
  • After space is selected, CDS will mail exhibitors a copy of their contract and booth number. No money will be collected during Round One of the booth assignment process (Dec. 1-Jan. 7)
  • Companies who participated in the Round One booth assignments were invoiced March 5 for the required deposit of $1,000 per 10' x 10' booth space they reserve. The balance is due May 1.

Policies:

  • Each company must have completed the Intent to Exhibit Application prior to Dec. 1, 2008, to participate in Round One of booth assignments. 
  • Any request to change booth space already assigned can only be done within 72 hours (3 business days) of the original assignment.
  • If your company is unable or chooses not to participate in the Round One of booth assignments, your company will be assigned a booth in the general assignment process which will begin in July, if space is still available.

The 2010 exhibit booth prices are:

  • Standard: $3,250
  • Corner: $3,750
  • Aisle Space: $3,250
  • Meeting Room: $3,000 

CDS anticipates a very successful 2010 Midwinter Meeting, as we move into the new West Building of McCormick Place. Therefore, CDS cannot guarantee that all exhibitors who apply for the 2010 Midwinter Meeting will be assigned a space. However, any company who applies and is not assigned a booth will be placed on a waiting list.
