April 4, 2016

Round 1 – Applications posted online. A non-refundable deposit of $1,000 per 10’ x 10’ booth space requested and a non-refundable $1,000 per 10’ x 12’ meeting room (if applicable) is required with the application.

May 27, 2016

Round 1 applications deadline for receipt of application for exhibit space and non-refundable deposit. Round 1 applicants are assigned space on the basis of seniority. Applications received after this date will be assigned space during Round 2 assignments.

June 6, 2016

Round 1 booth assignments begin.

July 15, 2016

  • Notice of space assignment sent to Round 1 applicants.
  • Round 2 applications deadline. A non-refundable deposit of $1,000 per 10’ x 10’ booth space requested and a non-refundable $1,000 per 10’ x 12’ meeting room (if applicable) is required with the application.

Aug. 1, 2016

Round 2 booth assignments begin. Booths are assigned primarily on the basis of seniority, as well as date application was received. First-time exhibitors are assigned booth space based on the date the completed application is received.

Sept. 15, 2016

  • Round 1 booth balances are due.
  • Cancelations policy (Round 1 assignments): All cancelations or changes to booth space must be in writing. Exhibitors who cancel their space on or before September 15 will be refunded the fees paid for booth and meeting rooms less the non-refundable deposit. Exhibitors who cancel after September 15 will not receive a refund.

Oct. 15, 2016

  • Round 2 booth balance due.
  • Cancelations policy (Round 2 assignments): All cancelations or changes to booth space must be in writing. Exhibitors who cancel their space on or before October 15 will be refunded the fees paid for booth and meeting rooms less the non-refundable deposit. Exhibitors who cancel after October 15 will not receive a refund.

Nov. 1, 2016

  • Exhibitor Service Kit available online.
  • Exhibitor badge registration begins. The exhibiting company’s account number is the five-digit password needed to register booth staff. Exhibitors requesting a booth space 20’ x 20’ or larger must submit a rendering of the proposed exhibit layout with their application. This rendering is to include electrical and plumbing placements, if required. A frontal and aerial view on the rendering is mandatory. Photographs will not be accepted.
  • Deadline to submit completed Products/Services Listing Form.

Dec. 15, 2016

  • Round 3 applications deadline. Full payment required with application for all booth and meeting room space


2017

Jan. 9, 2017

  • Deadline to submit Exhibitor Certificate of Insurance.
  • Deadline to submit Exhibitor-appointed Contractor Form.
  • Deadline to submit Exhibitor-appointed Contractor Certificate of Insurance.
  • Deadline to submit Mandatory Approval Form for submission of hanging sign/material design requests. A rendering of the hanging sign/material must be submitted along with the request. No photographs will be accepted.
  • Deadline to submit of height variance requests.
  • Deadline to submit proposals for demonstrations in booth.
  • Deadline for sound projections.
  • Deadline for celebrities/promotional activity.
  • Deadline for giveaways, prizes, raffles to be submitted for approval.

Jan. 20, 2017

  • Deadline to submit changes for online booth personnel registrations.
  • Badges will be mailed starting January 21.
  • Exhibitor booth personnel registration continues through February 17. Badges must be picked up on-site at McCormick Place beginning February 22.

Jan. 23, 2017

Advanced shipments to the Freeman warehouse begin. Ship to:

Feb. 10, 2017

  • Last day to accept advance shipments at the Freeman warehouse.
  • Deadline for receipt of all hanging signs – which must be shipped separately from booth materials – to the Freeman warehouse.

Feb. 20 - 22, 2017

  • Exhibitor move-in begins for direct-to-show site shipments.
  • Please refer to targeted floor plan for shipment date and time.
